About Us
The Faculty of Information and Media Studies (FIMS) is dedicated to the advancement of knowledge about media, communications, information and their technologies. The Faculty interweaves theory and practice in professional and scholarly contexts. Strong programs at the undergraduate and graduate levels are linked to public and private sectors and to community organizations, in an academic environment characterized by interdisciplinarity, collaboration, creative inquiry, and critical thinking.
Responsibilities
The Program Coordinator is responsible for the administrative aspects of all seven graduate programs at FIMS. The Program Coordinator is the main point of contact for students seeking advice on course selections and meeting program progression requirements. The Program Coordinator monitors students’ progression through the program and oversees the graduate process. The Program Coordinator provides administrative and advising support to students, staff, and faculty including the Graduate Program Chairs (GPCs) and the Associate Dean Graduate (ADG). In collaboration with the GPCs, ADG and the Manager, GSS (MGSS), the Program Coordinator contributes to the overall process design and implementation of strategies for recruiting applicants to the research based graduate programs. The Program Coordinator maintains communication with graduate students, faculty and staff acting as a primary department resource and liaison for these groups. The Program Coordinator maintains relationships with various internal stakeholders for information related to program and course planning, enrollment management, timetabling, statistics, student progression, student funding and physical resource needs.
Qualifications
Education:
- 3 year university degree in Business Management/Administration or a related field
- Courses taken in accounting preferred
Experience:
- 4 years’ experience providing financial and administrative support and customer service; preferably in an academic environment
- Experience coordinating logistics of specialized programs; preferably in an academic environment
- Previous experience in faculty administration in a graduate program preferred
Knowledge, Skills & Abilities:
- Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications as required
- Ability to explain financial information, policies and procedures effectively to individuals who may have little financial knowledge
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Demonstrated ability take initiative, to work independently and follow through on work assignments
- Ability to apply active listening to hear and understand the complete message being communicated
- Competency to maintain confidentiality and treat sensitive information with discretion
- Ability to establish rapport with people from diverse backgrounds
- Demonstrated ability to understand and resolve external and internal partner issues
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail
- Ability to understand, interpret, and effectively communicate University guidelines, policies and practices to key stakeholders
- Ability to multi-task and maintain an organized and effective personal work environment
- Adapts readily and effectively to changing priorities and demands
- Personable and courteous in working relationships with colleagues, faculty members, students and the public
- Ability to make appropriate decisions and resolve issues by identifying the critical elements of a problem situation and considering each aspect
- Ability to interact professionally with students, staff, faculty, and other members of the University community
- Strong mathematical and analytical skills to complete accurate calculations
- Ability to work independently and effectively as a member of the team to achieve department goals
- Intermediate proficiency required in Microsoft Office in order to prepare emails, course outlines, announcements, and to input data into spreadsheets and databases
- Familiarity with software applications used by Western preferred – e.g. OWL, Cascade, PeopleSoft, Mustang Market, specialized scheduling software
- Familiarity with academic calendar and programs offered at Western preferred
- Familiarity with Western policies and guidelines preferred
