Ivey's Career Management team's value-added approach focuses on helping corporations navigate the university environment and build their brand on campus and within the Ivey community. Career Management facilitates access to students and the alumni network to help our corporate partners fill vacancies, ideally with Ivey talent. Our team also prepares students for these opportunities in the marketplace, and we are integrated into the academic programs. We work directly with several stakeholders: (MBA/MSc/HBA) applicants, students, alumni, talent professionals within organizations, other external facing teams at Ivey and faculty. 

Responsibilities

The Administrative Assistant (Recruitment Logistics Coordinator (RLC)), will work in collaboration with the Corporate Recruiting Team to coordinate all on-campus recruiting logistics for corporate recruiters. This entails organizing the receipt of information, posting jobs to a database for viewing by current students and alumni, advertising events, short-listing candidates, building interview schedules, handling student conflicts and following prescribed quality assurance measures to ensure accuracy.

Qualifications

Education:

  • 2 year diploma from recognized community college, preferably in Business Management/Administration or a related discipline

Experience:

  • 4 years’ related experience in a customer service-oriented role or external client facing role
  • Experience in project/event management is preferred

Knowledge, Skills & Abilities:

  • Exceptional customer service skills, with the ability to respond to internal and external clients in a diplomatic and professional manner
  • Ability to process information with high levels of accuracy and strong attention to detail
  • Sensitivity in dealing with confidential issues and materials
  • Excellent verbal and written communication skills and confidence in dealing with a diverse corporate contact group, including managers and alumni from all levels of an organization,
  • Demonstrated ability to manage multiple tasks and set appropriate priorities in a fast-paced setting
  • Self-motivated multi-tasker with strong time management and organizational skills
  • Team player who enjoys learning, contributing to team goals and contributing where needed
  • Intermediate computer skills in Microsoft Office
  • Thrives in a corporate and feedback-rich environment
  • Proactive planning and problem-solving skills
  • Proven ability to establish rapport and build strong relationships with management, colleagues and clients.
  • Strong database management abilities, database reporting and intermediate computer skills in Salesforce, Microsoft Excel, Word, Outlook and PowerPoint
  • Demonstrated project and event management experience
  • Knowledge of the administrative policies and procedures of the University & the Ivey Business School, an asset
  • Intermediate proficiency required in Microsoft Office and a familiarity with software applications used by Western and Ivey Business School (e.g. 12Twenty, Canvas)
