The Role

 

Project Coordinators at Convergix Automation are key contributors to the success of projects. You maintain comprehensive project documentation, manage risks, and facilitate design reviews to prevent scope creep. Additionally, you oversee scheduling, change management, customer interactions, and on-site acceptance testing to ensure successful project completion. Project Coordinators play a crucial role in supporting these efforts and contributing to overall project success. This position reports to Team Leader – Project Management.

 

 

Key Responsibilities

 

As a Project Coordinator, you will support the following areas of the business:

  • Project Management
    • Develop and maintain project management systems and reporting
    • Support Project Managers with general administrative functions
    • Assist with setting up new projects within the Convergix Project Management System
    • Assist with the execution of Factory/ Site Acceptance Testing
    • Organize temporary labour for execution of equipment testing
    • Develop/ maintain schedules and track deliverables
    • Track tasks to ensure deadlines are met
    • Schedule project meetings and prepares minutes
    • Tracks project Checklist adherence
    • Organize incoming customer parts
    • Arrange shipping documents for inbound/ outbound equipment
    • Supports project purchasing, receiving, shipping tasks
    • Track critical path incoming materials
    • Assist with customer status reporting
    • Participate with project execution at Convergix and Customer facilities
  • Project Performance Reporting
    • Prepare project status reporting
    • Analyze performance metrics and assist with developing status reports
    • Assist with project Estimate at Completion forecasting
    • Assist with Project Management adherence reporting
  • General Document Control
    • Store, manage, and track all project documentation adhering to Convergix’s or the clients document lifecycle procedures
    • Collect, scan, and upload documents following set procedures
    • Assign and/or request document numbers for all project documentation
    • Maintain project files, issue documents both internally and externally

 

Qualifications and Experience

  • Demonstrated experience as a Project Coordinator, Project Administrator, Engineering Assistant or Administrative Assistant
  • Experience working within an Engineering or Manufacturing environment is preferred.
  • Above average MS Office skills including Excel, Outlook, PowerPoint, Visio, and Word
  • Experience with Microsoft Projects considered an asset
  • Prior exposure to Document Control an asset
  • Experience with ERP systems an asset
  • High level of attention to detail
  • Excellent verbal and written communication skills
  • Outstanding organizational and time management skills
  • Ability to thrive in a fast-paced environment
  • Experience handling large, multiple projects and data simultaneously
  • Must be able to exercise independent decision-making, convey an accommodating attitude toward the other team members and foster a team environment
  • An ability to travel; although this position is focused on local clients and minimal travel is required, you should have the ability to travel within US and Canada
  • Reliable transportation and an ability to travel; Project Coordinators at Convergix should have the ability to travel within the US and Canada

 

 

Physical Demands

 

  • While performing the duties of this position, the employee is regularly required to stand, walk, sit, use hands to feel objects, reach with hands and arms, stoop, kneel, talk and hear.
  • Occasionally lift or move up to 25 pounds.
