Account Coordinator

We’re on the hunt…RedRhino is growing and we are looking for a wildly talented and organized Rhino to join the crash. You don’t know what deadlines whizzing by sounds like, because you don’t miss them. You are dedicated to client and customer service – anticipating what projects need so they’re on time and on budget (or under budget). You work quickly and love timelines, schedules, estimates and ensuring that projects are seamless. You might know a little bit about everything from design to digital marketing, but you’re a pro in keeping it all moving. You’re practical and creative, always looking for new solutions or improvements to processes. You are extremely detail-oriented, a great communicator, a creative problem-solver and thrive in a fast-paced environment.

Working with the accounts team, including Managers and Directors, you are the engine that ensures projects are well organized and move through the organization in an efficient manner. manage specific projects and the tasks associated. You are eager to jump in and have an interest in growing into a more senior account role after developing a strong knowledge base of and experience with our lovely clients and internal processes.

Primary Responsibilities

  • Schedule, attend and take clear well-defined notes for distribution to the necessary people. This includes client meetings, internal check-ins, resourcing, and tracking with the accounts team.
  • Collecting all project details, assets, files, client notes, etc. and ensuring they’re able to be accessed easily and efficiently by all team members when needed.
  • Responsible for developing and maintaining work back schedules, client status sheets and timelines. Includes proactive communication with account managers on project status or anticipated hurdles.
  • Ensuring projects are estimated correctly, and monitoring project hours and budgets on a regular basis, recognizing and flagging any potential overages.
  • Client Communication. Attending meetings, project updates, answering client emails, inquiries, or requests.
  • Internal Communication. Working with teammates in the studio, dev team, digital team, senior management, and accounts to ensure all project management details are communicated in the correct way, to the correct person, at the correct time.
  • Other Support:
    • Work with AM or independently as required, to create written project plans that align with client business strategy while focusing on concrete and attainable deliverables.
    • Project research, including new business or RFPs.
    • Presentation preparation including coordinating/collecting information, and formatting.
    • Basic copywriting, editing and proofing
    • Updating and developing reports including both internal and client facing documents such as status reports, budget reports, digital performance reporting.

Desired Skills & Experience?

  • Relevant college diploma or university degree
  • Strong organizational skills – previous project management experience is an asset
  • Excellent attention to detail is a must
  • Thrives on performing in a fast-paced, high volume environment
  • Strong written and oral communication skills with an ability to tailor style to your audience
  • Internally motivated, takes great satisfaction in meeting challenges head-on
  • True team cheerleader, everyone here has a part to play and is important to your success
  • Proficient in a Mac environment, G-Suite, Word, Excel and Keynote.
  • Advertising/Marketing communications and/or agency experience is an asset
  • An understanding of digital advertising is an asset
  • Experience with project management software such as JIRA is an asset.
