Payroll Administrators
 

As a Payroll Administrator this role is responsible for compiling payroll information for all full-time, PT Contractors and FT Contractors to ensure the effective and efficient preparation of bi-monthly global pay.  The role is also responsible for preparation of journal entries, reporting and maintaining records for all our global workforce. The role requires extensive knowledge of Canadian and USA payroll.

 

  • Maintains and updates our HRIS System - UKG 
  • Maintains payroll information by maintaining systems; directing the collection, calculation, and entering of data
  • Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, job titles, and department/ division transfers
  • Pays employees by directing the production and issuance of electronic transfers to bank accounts
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
  • Determines payroll liabilities by approving the calculation of employee federal, provincial and state income taxes, CPP/ social security taxes, and employer's social security/CPP, unemployment, and workers compensation payments
  • Balances the payroll accounts by resolving payroll discrepancies
  • Provides payroll information by answering questions and requests
  • Maintains payroll guidelines by writing and updating policies and procedures
  • Complies with federal, provincial, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and participating in professional organizations
  • Update general ledger and payroll files
  • Prepare accounting files, records, and schedules
  • Monitor paid and unpaid leaves
  • Process overtime earnings or holiday deductions
  • Resolve payroll problems (e.g. overlooked bank holidays, late payments, etc.)
  • Participate in payroll audits
  • Ensure compliance with governmental laws on payroll accounting and taxes
  • Maintains employee confidence and protects payroll operations by keeping information confidential

 

Required Experience and Education 

  • Degree or equivalent in Accounting, Finance, or relevant field
  • Must have previous experience as a payroll administrator or similar role doing both Canadian and US payroll
  • Experience using integrated payroll/HRIS system, preferably UKG
  • Understanding of local and governmental rules regarding payroll processes/ deductions
  • A valid national certification (e.g. Fundamental Payroll Certification)
