Thompson Centre for Engineering Leadership and Innovation is to energize and accelerate the integration of traditional engineering and business perspectives to create technology-based innovation and entrepreneurial opportunities for Western students, faculty, and industry partners. The Thompson Centre enables engineering students to identify challenges that are difficult to solve with existing technology solutions alone. By harnessing the expertise and resources available at Western, students, researchers, and industry partners will work together to build development paths for technological advancements and potential innovative solutions that address the world’s big problems and contribute to economic growth. 


The Program Coordinator supports the administration of the John M. Thompson Centre for Engineering Leadership (TCELI), a specialized program creating technology-based innovation and entrepreneurial opportunities for Western students, faculty, and industry partners. The role supports the Program Director by distributing work, providing orientation and ensuring quality and timeliness of work for administrative staff, and in the administration and coordination of the graduate programs and the Undergraduate Certificate Program within TCELI, ensuring adherence to program standards. The role coordinates administrative, human resources, communications and financial functions and processes to ensure smooth and efficient administration of the TCELI including supporting recruitment and hiring process for Limited Duties faculty, financial functions, and coordinating the allocation, processing and tracking of graduate student funding. The role provides administrative support to leaders and coordinators of courses, and serves as the first point of contact for faculty members, current and prospective students and the public, providing information on matters related to the programs from the time of inquiry through application, orientation, program progression, examination and post-graduation in a manner that promotes the best student experience. The role acts as a resource, providing support and guidance regarding University, Faculty, and departmental policies and procedures, providing referrals to other individuals or resources as required.  



  • 3 year University Degree in Business Management/Administration or relevant discipline with courses taken in accounting and human resources


  • 5 years’ experience coordinating logistics of specialized programs, providing financial and administrative human resources support to senior leaders, and customer service in an academic environment  

Knowledge, Skills & Abilities:

  • Working knowledge of professional accreditation processes and professional schools would be an asset
  • Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications as required 
  • Ability to explain human resources and financial information, policies and procedures effectively to individuals who may have little knowledge
  • Ability to provide support and guidance to enable team members to achieve high-quality outcomes
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience  
  • Demonstrated ability take initiative, to work independently and follow through on work assignments 
  • Familiarity with Western policies and guidelines related to graduate student affairs and with the academic calendar and programs offered at Western 
  • Ability to apply active listening to hear and understand the complete message being communicated 
  • Competency to maintain confidentiality and treat sensitive information with discretion 
  • Ability to establish rapport with people from diverse backgrounds 
  • Demonstrated ability to understand and resolve external and internal partner issues 
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation 
  • Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail 
  • Ability to understand, interpret, and effectively communicate University guidelines, policies, and practices to key stakeholders 
  • Ability to multi-task and maintain an organized and effective personal work environment 
  • Adapts readily and effectively to changing priorities and demands 
  • Personable and courteous in working relationships with colleagues, faculty members, students, and the public 
  • Ability to make appropriate decisions and resolve issues by identifying the critical elements of a problem situation and considering each aspect 
  • Ability to interact professionally with students, staff, faculty, and other members of the University community 
  • Strong mathematical and analytical skills to complete accurate calculations 
  • Ability to work independently and effectively as a member of the team to achieve department goals 
  • Advanced proficiency required in Microsoft Office in order to prepare emails, correspondence, reports, and to input data into spreadsheets and databases, and with content management systems (such as Cascade, or equivalent) to develop websites
  • Familiarity with software applications used by Western preferred – e.g. OWL, Cascade, PeopleSoft, Mustang Market
