Description

The Events & Partnerships Coordinator is responsible for researching, planning, logistics, implementing, and evaluating events that help Info-Tech Research Group promote its mission and purpose, and achieve organizational goals.


Role Overview:

Supporting the overall Marketing Team and reporting to the Director of Events & Partnerships, the Events & Partnerships Coordinator is in responsible for contributing to the success of events and ensuring smooth execution, strong communication, and program effectiveness.  As the primary project manager for individual events and the main point of contact, this position will require management of many aspects of event execution.  The Events & Partnerships Coordinator will support the sales and business development efforts by maintaining strong vendor and client relationships.  The successful candidate will support program proposals, assemble project status reports, and the management of operational event requirements.  Creativity, enthusiasm, dedication to excellence, attention to detail, and professionalism at all times will be key expectations for this role.

The Events & Partnerships Coordinator will be expected to work with the Director of Events & Partnerships and other roles to execute and support on time, on budget, and beyond stakeholder expectation. 

Responsibilities Include:

  • Tracking and management of master calendar of events and activities
  • Coordination of events such as conferences, symposia, live learning meetings and virtual events
  • Liaison with vendors and suppliers as primary point of contact for all event logistics
  • Event timeline management to ensure deadlines are met
  • End-to-end oversight of logistics execution
  • Coordination and execution of event requirements, registration and attendee tracking, presentation and materials support, function orders, and logistics on a per event basis
  • Budgeting and ordering of promotional event collateral
  • Prepare participant (internal staff) communications regarding events and inter-event learning reinforcement
  • Coordinate and monitor the successful completion of all events related shipments from start to finish (including asset planning, preparation, packaging, labeling, and scheduling)
  • Stakeholder reporting – event status, post event reports, event evaluation
  • Ascertain stakeholder and rep needs and services required
  • Creation of Association partner program assets - landing pages, campaigns, webinars, and lead assignment
  • Take an active role in finding process improvements to drive increased efficiency

Key Success Attributes:

  • Strong background in program management and execution
  • Experience in event budgeting and financials
  • Skilled in facilities management, audio-visual, room layouts, and design
  • Strong problem-solving and management through stressful situations
  • Ability to assess and manage risk (emergency planning, alternative planning)
  • Skilled in Pardot - landing page design and creation
  • Skilled in Salesforce – campaign creation with lead assignment
  • Skilled in Webex and ON24 – webinar creation and promotion
  • Sales enablement experience
  • Ability to complete evaluations, reporting, and analysis
  • Understanding of social media in event settings
  • Commitment to working required hours (above and beyond normal business hours at times) to ensure events are successful
  • Working knowledge of customs procedures and requirements as it relates to the business needs
