Who is an Executive Support Specialist?
The Executive Support Specialist is responsible for providing high-level administrative support with executive tasks and projects. This role understands the organizational needs, and the administrative staff operation entirely.

The Executive Support Specialist is well versed in departmental, and company policies/procedures, and structures, as well as the priorities of the individual leaders and the company as a whole. 


What will you be doing?

  • Maintain and manage appointment schedules and calendars for the Senior Leaders; arrange meetings and conferences as directed:
    • Accepting meeting invitations in Outlook.
    • Sending meeting invitations to the appropriate parties.
  • Maintain Departmental Time and Attendance, complete analysis and track important dates in their respective calendar.
  • Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention.
  • Support the management of GoodLife’s Strategic Partners
    • Secure that regular update meetings are scheduled with all key Strategic Partners
    • Track progress and preparation of the strategic partner meetings: Agenda / Attendees etc.
    • Support the “live” Strategic Partnership Meetings at Home Office with planning preparation, agendas, and attendees.
  • Support in the management of the Senior Leader’s direct reports:
    • Secure that regular update meetings are scheduled with all direct reports
  • Act as a liaison on behalf of the Senior Leaders to help facilitate communication between their departments and other internal and/or external partners and vendors.
  • Consistently maintain professionalism; maintain a high level of confidentiality.
  • Manage and screen e-mail messages for the Senior Leader (where applicable), and provide assistance with prioritizing, flagging, and tasking items.
  • Build and maintain strong relationships with Department Heads, Club Managers, Divisional Managers, and all levels of Management to keep the chain of communication open, and functioning at a high level in support of the Senior Leaders
  • Schedule, manage and track Club visits (where applicable)
  • Plan, support and control the preparation of meetings and seminars; take minutes as directed and initiate appropriate action items and follow-ups for the respective Senior Leader.
  • Support in preparing, reviewing, and summarizing reports and documents; using sound judgment and initiative to determine next steps according to Department and organizational priorities.
  • Work effectively as a team and assist with team development.
  • Coordinate and manage payment of vendor invoices
  • Onboarding and Offboarding of Associates
  • Organize travel arrangements required, including suggesting and producing itineraries with fluent planning and timelines, and completing their monthly expense report(s).

 

 Do you have what it takes?

  • College Degree in related field
  • 7 years’ experience in related field
  • Microsoft Office Products
  • Adobe Acrobat
  • PowerPoint
  • Knowledge of office administrative practices and procedures, including the use of standard office equipment.
