The recruitment and admissions department at Ivey has several key purposes. Position Overview:
The HBA Recruiting Associate possesses extensive experience as a project coordinator, demonstrating robust planning, organizational, and time management skills. Proficient in managing multiple projects concurrently, they thrive in a collaborative team environment. As a skilled communicator, they excel in delivering professional presentations, adjusting their style and content to suit diverse audiences. Their expertise extends to the digital marketing realm, and they are at ease working with various social media platforms. Demonstrating a customer-focused approach, they meticulously attend to details and handle sensitive information with utmost care.
Qualifications:
- Recruiting Activities & Events
- Work with the Associate Director to plan, develop and execute recruiting events with the goal of increasing the “brand awareness” of Ivey, the interest in and the diversity of the HBA Program with high school students from around the globe.
- With the support of the Associate Director, develop sales and marketing strategies to increase the number, quality and diversity of applicants for Ivey AEO status and the HBA Program. Successfully execute the sales and marketing strategies.
- Assist in the coordination and representation of Ivey at Canadian and international university fairs (both undergraduate and graduate) and independently planned information sessions.
- Participate in the assessment of Ivey AEO and HBA applications, as requested by the Director.
- Build and maintain relationships within secondary schools (high school guidance counselors, teachers) to promote continued partnerships for future recruiting events and to increase awareness and reinforce strong messaging about the Program.
- Conduct presentations at high schools and fairs to promote Ivey’s HBA Program, sharing key messaging to attract prospective students to apply.
- Build and maintain contact lists for high-quality prospects, ensuring high touch level of service and follow-up to maximize the conversion of applicants to confirmed Ivey AEO status students and HBA students.
- Plan, develop and execute events such as high school case competitions.
- Monitor event budgets and generate required reports, including tracking incoming and outgoing expenses.
- Conduct informational interviews with prospective students and parents of prospective students, explaining admissions criteria/information and providing clear guidance on the prerequisites necessary for consideration for admission.
- Deliver and, at times, oversee the delivery of information with various groups inside and outside of the university (Summer Academic Orientation, Western Scholar’s event, Intent to Register Fair, Fall Preview Day, March Break Open House, OUF, application information sessions, Transfer Visit Day, etc.).
- Communications
- Work with the HBA Recruiting Manager to develop, manage and grow the Ivey HBA presence and brand through digital media channels such as Twitter, Facebook, Google+, blogs and other strategically relevant online properties.
- Stay up-to-date on current online trends and etiquette, ensuring alignment with prospective and current students’ preferences; work with Ivey’s Marketing and Communications Team to support efforts.
- Work with the Associate Director and the Admissions Coordinators to design and create communication plans for prospects, applicants and current AEO students, maximizing inquiry management and service response while maintaining consistency of messaging across HBA Program Services throughout the admissions cycle(e.g. scheduled e-mail blasts, admissions offers, etc).
- Collaborate with Admissions Coordinators to design and send out online offer packages to students.
- Recommend, create and source new and relevant content for the AEO Newsletter, social media, HBA website and other marketing materials; ensure all information displayed on the HBA website and social media channels is up-to-date and accurate.
- Manage a high volume of inquiries from prospective applicants, applicants, parents, secondary school guidance contacts and teachers, and current AEO students at certain times in the recruitment/admissions cycle.
- Respond promptly to phone, email and in-person inquiries regarding the Ivey HBA Program, working closely with other members of the Recruiting and Admissions team, staff from HBA Program Services team and other Ivey administration as necessary, to provide contacts and information to applicants.
- Performance Metrics & Data Analysis
- Analyze marketing and social media activity using a variety of tools (e.g. Google Analytics, Facebook Analytics, etc.) to identify trends and make recommendations on strategies for continued improvement of online metrics.
- Track communication with all inquiry groups, managing the integrity and completeness of records housed in the client relationship management (CRM) software for recruiting and admissions reports.
- Report on event budgets, including tracking incoming and outgoing expenses.
Education & Experience
- A university degree: an Ivey HBA degree would be considered an asset.
- 2 -3 years’ relevant experience, including project management and event planning; sales or marketing experience is considered an asset.

- Judgment, analytical and problem-solving skills with a consultative and collaborative approach to addressing issues and recommending strategic opportunities.
- Strong clients focus and relationship management with a desire to achieve results is essential.
- Able to build and maintain lasting relationships with other departments, key business partners and external agencies.
- Self-motivated multi-tasker with strong organizational skills.
- Ability to work independently with proven ability to collaborate effectively as a member of the team to achieve department goals.
- Ability to plan and manage events of various sizes, familiarity with large scale events an asset.
- Strong understanding of Social Media platforms.
- Excellent computer skills and experience using the Microsoft Office suite (Word, Excel, PowerPoint, Outlook, etc.), Email Campaign software and database management.
- Willingness to travel (domestically and internationally); possess a valid passport and driver’s license and be eligible for car rental agreements.
- Flexibility with work hours (occasional evenings, early mornings and travel overnight are regularly required throughout the year).
- Vacation may be restricted at certain times of the year.
