Assistant Logistics Coordinator
Please note: This is not a Supply Chain position, this is Logistics Transportation.
This position will start as a contract will the possibility to be full-time.
We are seeking an Assistant Logistics Coordinator with a minimum of 2 years direct working experience in the field to work in transportation of warehousing of goods. Processes orders and oversees cycle of order fulfilment. Responsible for making sure supplies, stock, materials, packages, and/or products are processed through the delivery and/or warehouse system efficiently and safely.
Must have first hand experience with cross border shipping.
Summary of Major Accountabilities
Logistics Support
- Assist in Coordinating the shipment of outbound products for OES Inc. along with service requests, evaluation units and vendor return.
- Organize and schedule outgoing product to maximize courier pick-ups.
- Ensure appropriate documents accompany each shipment according to customs and other governmental regulations.
- Review promised delivery dates daily to ensure all customer deliveries are met on time and as required.
- Ensure that Vendor terms, remittance addresses, are up to date.
- Maintain and expand a database of Freight Forwarders and Carriers
- Assisting in outgoing shipments and expediting to ensure materials delivers on time.
- Able to lift cases of product and/or stock merchandise according to documented procedures.
- Assisting production team for organizing inventory.
- Create Purchase Order’s (PO) as needed, pack-lists, and waybills along with freight and shipping documentation to accompany shipments.
- Maintain logistics files and track POs for upcoming shipments.
- Act as a back-up for the Logistics Coordinator
Inventory Support
- Assist with shipping, receiving and other production functions as required.
- Prepare internal orders by pulling parts according to relevant production documentation and SOPs.
- Maintain accurate counts of inventory using specialized software, systems and counting tools.
- Respond to inquiries of staff for the purpose of providing information and/or direction regarding the status of parts and orders.
Support team and Departmental goals:
- Attend and participate in daily huddles, Scoreboards Manufacturing and Staff meetings as required.
- Maintain a clean and organized workspace and contribute to a safe work environment.
- Perform all duties in accordance with health and safety work requirements and processes.
- Participate in Internal and External Audit as part of OES Quality Management Systems.
- Execute other tasks and provide back-up support to other team members, as required
- Other related duties as assigned and communicated by the Direct Supervisor and/or Department Manager
Minimum Qualifications (Education, Experience, Knowledge, Skills and Abilities)
- Must be legally able to work in Ontario and on-site in London.
- Must have 2 years direct experience working in Logistics.
- Must have cross border shipping experience.
- Strong communication skills (both verbal and written).
- Intermediate computer skills required on PC based software – Excel, Word, and Outlook.
- Strong organizational skills with the ability to meet tight deadlines and handle stressful situations.
- Able to multitask, prioritize and organize tasks to meet deadlines.
- Ability to work well independently and as a member of a team.
- Knowledge of shipping workflow processes and Courier Company services (Purolator, UPS, DHL, FedEx etc.)
- Knowledge of INCOTERMS and various mode of transport is required.

Cognitive and Physical Demands
- This role is subject to very tight deadlines and may involve short notice in order to comply these deadlines.
- May be subject to multiple interruptions on a daily basis which requires a high level of focus.
- Moderate physical effort which may include (but is not limited to) the following:
- Sitting for periods of 3 hours or longer
- Prolonged exposure to computer screens
- Ongoing hand-eye movements on computer and keyboard
- Ability to lift and manipulate objects of up to 50 lbs
- Continuous use of multiple communication methods, including regular use of telephone, e-mail, and face-to-face interactions.
- May be subject to difficult conversations with customer, vendors, or internal departments.
- Hazards associated with the industry.
- Use of personal protective equipment may be required.
- Ability to maintain regular attendance.
