Responsibilities

The Administrative Assistant will provide administrative support to the Director, Dentistry Operations as well as the Manager, Clinic Operations to ensure the facilitation of smooth operations within Schulich Dentistry. The role will serve as a first point of contract and provide responses, information and assistance on the Director’s behalf, escalating to the Director as appropriate. The Administrative Assistant will coordinate the Director’s schedule and calendar to ensure that all responsibilities and meeting requirements are met, and priorities are recognized and scheduled accordingly. The role will also coordinate logistics for large-scale events and committees, and conduct initial background work on issues that require the Director’s oversight.

Qualifications

Education:

  • 3 year Community College Diploma in Office Administration/Business Management

Experience:

  • 5 years’ experience providing administrative support to a senior leader in a complex business office setting

Knowledge, Skills & Abilities:

  • Familiarity with event management techniques and tools and with project management methodologies
  • Communication skills to express ideas in an objective manner, write clearly, and adapt communication style to suit the situation and audience
  • Ability to work in a manner that models best practices in confidentiality standards
  • Client service skills with an ability to apply tact and discretion when dealing with sensitive issues and a range of personalities, motives and interests
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills
  • Detail-oriented with an ability to function and process information with high levels of accuracy
  • Commitment to ongoing professional development with a desire to take on new challenges
  • Ability to remain highly motivated, resilient, innovative, and collaborative when faced with challenges
  • Possess a reputation for resourcefulness with a strong sense of accountability and initiative
  • Organizational skills to manage multiple assignments that are accurate and thorough, sometimes of a complex nature or involving competing priorities
  • Intermediate computer skills in Microsoft Office Suite
  • Ability to establish rapport with people from diverse backgrounds
